About The Role

The Studio Coordinator is a crucial part of an international Creative Department spread across studios located in Gibraltar, Manila and London. This person is responsible for the coordination, day-to-day organisation, management and delivery of all creative content including BAU and project related creative. The Studio Coordinator will be based in Manila, however, this is an international role and the role requires regular travel to Gibraltar and London in order to ensure alignment, unity and a ‘one team’ approach which is shared with several international creative studios. This person will enable the efficiency and effectiveness of all creative studios and ensure the timely delivery of a wide variety of tasks.

The Studio Coordinator is part of the Global Production team within the Creative Department under the Studio Manager based in Manila with a reporting line into the Production Manager based in Gibraltar. The Creative Department is made up of several subteams including Production / Client Services, Graphic Design, Editorial, Web Development and Motion Graphics / Animation & Video.

The Production team are tasked with receiving, processing & coordinating the creative business requirements into the relevant skilled Creative studios (Gibraltar, Manila and London) via a set workflow process in order to achieve the timely delivery of the desired high quality on-brand creative.

Managing high volumes of traffic across multiple locations, the Studio Coordinator is required to collaborate with all Creative Studio Managers and clients to evaluate, prioritise and schedule resource availability with the conclusion being, a successfully executed project.

Key Responsibilities

● Studio Coordination - Responsible for the effective coordination and delivery of all creative requests projects across all channels for all brands.

● Traffic Management - Manage ticket distribution and prioritise tasks based on business needs.

● Workflow Management - Coordinate and manage the creative process from initial brief to final delivery.

● Problem Solving - Ensure the smooth running of the creative team workflow by troubleshooting and reporting any workflow issues.

● Tracking delivery - Maintain an awareness of all creative projects, ensure deadlines are met and proactively liaise with appropriate clients to unblock any possible blockers.

● Client Management - Consult with clients to gather and evaluate requirements, plan and deliver time estimations based on available resources and agree workable SLAs for delivery of the stakeholder’s individual request and the wider timeline criteria of the business.

● Asset Library - Manage and maintain an extensive library of all completed work.

● Team Collaboration - Effectively collaborate with all Creative Studio Managers including internationally based teams, to plan and schedule resources based on availability & suitability for optimum production using agreed outsourced partners where necessary (before and throughout each project).

● Triage / Quality Control - Triage all creative requests to ensure the briefing forms are adequately completed as per the agreed criteria.

● Communication - Actively build client / provider relationships with stakeholders and establish good, effective communication levels required to maintain a healthy collaborative approach to the day to day working environment (this will require problem solving and tactical decision making).

● Brand Consistency - Review and proof all creative deliverables (text, images, video, live web content) to ensure all content is complies with the brand guidelines and regulatory frameworks.

● Task Monitoring - Track all tasks and resources through the workflow management system to ensure the smooth transition of work between studio and client, managing the feedback and iteration process through to sign off of both individual tasks during the project and the final product.

● Studio Coordination - Coordinate with all other members of the Production team to ensure that no resource is overstretched or consistently freed up and ensure that all members of the Production team have an awareness which accurately reflects the resource capacity of the various teams within the creative department, in order to ensure workloads are being evenly distributed.

● Reporting - Execute regular and monthly reporting across the entire creative department (volumetric, capacity vs resource,demand,trends costs by department, channel, type etc).

● Regulatory awareness - Maintain a full awareness and understanding of appropriate legislation for relevant channels and ensure all activity is approved by compliance and legal team(s); ensure that all materials are consistent with licence conditions and code(s) of practice; ensure all staff are trained and familiar with Responsible Gambling requirements and knowledge is consistently and effectively updated.

● Client services - Actively seek out new work from new and existing clients, confidently build client relationships, effectively facilitate workshops, gather creative requirements, provide campaign advice and support and deliver workflow training.

Qualifications and Educational Requirements
  • Must possess a High School Diploma, Vocational Diploma / Short Course Certificate, Bachelor’s Degree, any field.
Specialist Skills and Experience Required


● Fluent in English language (written and verbal)

● Excellent communication skills (written, verbal and presentational) and the ability to communicate confidently and effectively

● At least 5 years experience in a Studio Coordinator, Resource Management, Account Management or Project Management role.

● A proactive work attitude and can-do mindset

● Experience in working with media, marketing, web development and creative agencies

● Proven ability to work with multiple internal stakeholder teams on an international basis

● A strong understanding of international office culture

● Experience in creating reports on a regular and monthly basis

● Extensive resource planning experience and strong organisational skills

● Ability to develop strong working relationships with internal and third party service providers

● Excellent knowledge of Google Drive/Docs and Microsoft Office (particularly Excel and Powerpoint)

● Excellent knowledge of Content Management Systems and Project Management software (such as JIRA)

● Project management experience including taking full ownership of and coordinating projects through to final execution, working on collaborative projects, managing deliverables, managing stakeholders and managing deadlines throughout all phases of a project

● Experience working to tight deadlines while working across multiple brands and the ability to manage and prioritise a busy workload



● At least 5 years experience working in marketing, a creative agency or in-house creative department

● A keen follower and knowledgeable of international sports and gaming ie: soccer, horse racing, tennis, golf

● Bachelor degree in marketing, business or a related field

● Knowledge of copy, design, motion graphics and web development

● Strong understanding of digital marketing services (CRM, Social, Web)
